Terms and Conditions

1. Introduction and Acceptance
These Terms and Conditions ("Terms") govern your access to and use of the Poker Tournament Manager platform ("PTM", "the Service"), operated at poker.reneo.io and associated domains. PTM is a tournament management tool for poker venues, tournament directors, and players.
By accessing or using the Service, you agree to be bound by these Terms and our Privacy Statement. If you do not agree, you must not use the Service.
2. Definitions
- "Service" means the PTM web application, APIs, real-time WebSocket services, IoT device integrations, CMS content, and all related functionality accessible at poker.reneo.io and associated domains.
- "User" means any individual who accesses or uses the Service, whether as a registered user, guest user, venue operator, tournament director, or visitor.
- "Venue Operator" means a User who creates or manages an organisation (venue) within the Service.
- "Tournament Director" means a User with permissions to create and manage tournaments within a venue.
- "Player" means a User who registers for or participates in tournaments.
- "Content" means all text, images, videos, data, and other materials available through the Service.
3. Eligibility
You must be at least 18 years of age to use the Service. By using the Service, you represent and warrant that you meet this age requirement. PTM is a tournament management tool and does not itself facilitate gambling; however, poker tournaments may be subject to local laws and regulations. You are solely responsible for ensuring that your use of the Service complies with all applicable laws in your jurisdiction.
4. Account Registration and Security
4.1 Account Creation
You may create an account to access certain features of the Service. When creating an account, you agree to:
- Provide accurate and complete information.
- Maintain and update your information to keep it current.
- Keep your password confidential and not share your account credentials with others.
- Notify us immediately of any unauthorised use of your account.
4.2 Guest Access
Certain features of the Service may be accessible without creating an account. Guest sessions are identified by temporary tokens and have limited functionality compared to registered accounts.
4.3 Account Responsibility
You are responsible for all activities that occur under your account. We are not liable for any loss or damage resulting from unauthorised use of your account.
5. Venue and Tournament Management
5.1 Venue Operators
If you create or manage a venue on PTM, you agree to:
- Provide accurate venue information (name, location, contact details).
- Ensure that tournaments hosted through the Service comply with all applicable local laws and regulations, including any licensing requirements for poker events.
- Manage your staff roles and permissions responsibly.
- Handle player data accessed through the Service in accordance with applicable data protection laws.
5.2 Tournament Directors
If you direct tournaments through the Service, you agree to:
- Configure tournament settings (blind structures, buy-ins, payouts) accurately.
- Manage player registrations, eliminations, and results fairly.
- Not manipulate tournament data to disadvantage players.
5.3 Players
If you register for or participate in tournaments, you acknowledge that:
- Tournament registration, buy-ins, and payouts are managed by the venue, not by PTM.
- PTM is a management tool and does not handle, hold, or guarantee any funds.
- Your tournament results and standings may be visible to other users at the same venue.
- Linking a physical card (RFID/NFC) to your account is voluntary and you may request unlinking at any time.
6. Financial Terms
PTM is a tournament management tool. It tracks buy-ins, fees, rebuys, add-ons, and prize pool calculations for informational and management purposes. Important clarifications:
- PTM does not process payments, hold funds, or act as a financial intermediary.
- PTM does not store credit card numbers, bank account details, or other financial instrument data.
- All financial transactions (collecting buy-ins, distributing prizes) are handled directly between the venue and its players.
- PTM tracks payment status (paid/unpaid) for management purposes only and is not responsible for the accuracy of financial records maintained by venues.
7. IoT Devices and Hardware
PTM supports IoT hardware integrations including tournament display devices and RFID/NFC card readers. If you use PTM-compatible hardware:
- Device authentication tokens are confidential and must not be shared.
- Devices should only be connected to tournaments and venues you are authorised to manage.
- PTM is not responsible for hardware malfunctions, network connectivity issues, or data loss caused by device failures.
- Firmware updates and device maintenance are the responsibility of the device owner or venue operator.
8. Acceptable Use
You agree not to use the Service to:
- Violate any applicable laws or regulations.
- Interfere with or disrupt the Service, servers, or networks connected to the Service.
- Attempt to gain unauthorised access to any part of the Service, other accounts, or computer systems.
- Use automated means (bots, scrapers, etc.) to access the Service without our express permission.
- Transmit malware, viruses, or other harmful code.
- Harass, abuse, or harm other Users.
- Impersonate another person or entity.
- Use the Service for any form of illegal gambling or activity.
- Manipulate tournament data, results, or standings fraudulently.
- Circumvent CAPTCHA, rate limits, or other security measures.
9. Feature Voting and Feedback
The Service includes a feature voting system and feedback forms. When using these features:
- Votes require email verification to prevent abuse.
- One vote per email address per feature is allowed.
- We reserve the right to remove fraudulent votes or spam submissions.
- Feature suggestions submitted through the voting system or feedback forms may be used by PTM to improve the Service. Submitting a suggestion does not grant you any intellectual property rights over the resulting implementation.
- Feedback submissions are reviewed but we do not guarantee a response or implementation.
10. Intellectual Property
10.1 Our Intellectual Property
The Service, including its design, code, features, documentation, blog content, and branding (including the "Poker Tournament Manager" and "PTM" names), is owned by us or our licensors. You may not copy, modify, distribute, sell, or lease any part of the Service without our prior written consent.
10.2 Your Content
You retain ownership of any content you submit to the Service (e.g., profile pictures, feedback, feature suggestions). By submitting content, you grant us a non-exclusive, worldwide, royalty-free licence to use, store, and display that content as necessary to operate the Service.
11. Content Management System
PTM uses a content management system (CMS) to publish informational pages, documentation, tutorials, blog posts, and other content. This content is provided for informational purposes only. While we strive for accuracy, we do not warrant that all CMS content is complete, current, or error-free.
12. Real-Time Services
PTM provides real-time tournament updates via WebSocket connections. These services are provided on a best-effort basis. We do not guarantee uninterrupted real-time connectivity and are not liable for delays, disconnections, or data inconsistencies caused by network issues, server load, or other factors outside our reasonable control.
13. Service Availability and Modifications
- We aim to keep the Service available at all times but do not guarantee uninterrupted access. Downtime may occur for maintenance, updates, or reasons beyond our control.
- We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with or without notice.
- We reserve the right to update these Terms from time to time. Material changes will be communicated through the Service.
14. Account Suspension and Termination
We may suspend or terminate your account and access to the Service if:
- You violate these Terms or our Privacy Statement.
- Your conduct poses a risk to the Service, other Users, or third parties.
- We are required to do so by law.
- Your account has been inactive for an extended period.
You may delete your account at any time by contacting us. Upon deletion, we will remove your personal information in accordance with our Privacy Statement. Completed tournament records may be retained for historical purposes.
15. Disclaimers
The Service is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
Specifically, we do not warrant that:
- The Service will be uninterrupted, timely, secure, or error-free.
- Tournament data, results, or calculations will be perfectly accurate at all times.
- The Service will meet all of your requirements.
- IoT device integrations will function without interruption.
16. Limitation of Liability
To the fullest extent permitted by applicable law, PTM and its operators, directors, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:
- Loss of profits, data, or goodwill.
- Financial losses arising from inaccurate tournament data or payout calculations.
- Losses arising from service interruptions or downtime.
- Losses caused by unauthorised access to your account.
- Losses arising from IoT device malfunctions.
Our total cumulative liability for all claims arising from or relating to the Service shall not exceed the amount you have paid us (if any) in the twelve (12) months preceding the claim.
17. Indemnification
You agree to indemnify, defend, and hold harmless PTM and its operators from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from:
- Your use of the Service.
- Your violation of these Terms.
- Your violation of any applicable law or regulation.
- Your infringement of any third-party rights.
- Tournaments you organise or manage using the Service.
18. Third-Party Services
The Service may integrate with or contain links to third-party services (e.g., Cloudflare, Google Analytics, email providers). We are not responsible for the content, privacy practices, or availability of these third-party services. Your use of third-party services is governed by their respective terms and privacy policies.
19. Governing Law and Disputes
These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which PTM operates, without regard to conflict of law principles. Any disputes arising from these Terms or the Service shall be resolved through good-faith negotiation. If a resolution cannot be reached, disputes shall be submitted to the courts of competent jurisdiction.
20. Severability
If any provision of these Terms is found to be invalid or unenforceable, that provision shall be modified to the minimum extent necessary to make it enforceable, or if modification is not possible, severed from these Terms. The remaining provisions shall continue in full force and effect.
21. Entire Agreement
These Terms, together with our Privacy Statement, constitute the entire agreement between you and PTM regarding your use of the Service. They supersede all prior agreements, understandings, and representations.
